Growing/aggressive industrial manufacturing company seeking office manager. Help us turn our office into a well-oiled machine AND a really special, welcoming place to work. Location is an easy 30 minute commute from Dallas.
Lots of details and color below. If interested PM or comment and I'll answer questions and/or get you in touch with our recruiters. Please feel free to pass this along.
Please note we aren't seeking a set of hands to simply do what they're asked. We need someone who is excited to put their skills and creativity to work to help us hone our systems and processes to make our office a well-oiled machine. And where we lack consistency and rhythm, we need someone excited to create it.
We also want someone who wants to help us make our office a really warm and welcoming work environment to everyone who walks through our doors -- our team most of all.
Key roles will include:
- General office management. Keep this place organized! Manage and maintain records and files, manage company calendars, keep the office supplied, process bills and receipts, and general clerical support to the team.
- Primary point of contact for outsourced services. We rely on outsourced IT, site maintenance, payroll, bookkeeping and other service providers. You'll be the primary point of contact with these providers, provide them with information and assistance, and help us manage our relationships with them.
- General assistance to the leadership team, especially the COO. Take on delegable tasks to free up bandwidth for the leadership team, monitor and track status of action items and projects.
- Help foster a welcoming environment. Lead and manage our employee appreciation program, make our team and visitors feel welcome at the office, lead community outreach efforts.
Ramp up will be faster if you have very solid computer skills (especially with Word, Outlook, and Excel), familiarity AP and AR processes, and experience as an office manager, secretary, executive assistant, or similar role.
If you don't feel like you check all those boxes, I don't care. What IS important is that you're a good fit for our culture and bring this with you on day one:
- Intentional, organized, and disciplined. But also okay with some flexibility. As an entrepreneurial company we strive for that sweet spot of structure and adaptability. We need our office manager to appreciate the need for that balance and help us find it.
- A thoughtful, conscientious host. We want to make our office a special place to work. The right person will relish the opportunity to make our team, customers, vendors, and guests feel really special.
- Positive, proactive mindset. We believe that as a company and individuals we are in control of our own choices and attitudes, and ultimately we get to write our own destiny. So we don't abide victims, blamers, sad sacks, or gophers. Growing a company is challenging and fun so we need you to show up ready to enjoy the ride.
- Enthusiasm for learning, growing, and challenging yourself. As a growing company everyone has to constantly be getting better. We will provide the resources for you to improve, but the idea of an ever-evolving role should sound exciting, not scary.
We offer a full benefits package with 401k, insurance, etc.
Job is on-site. We are making significant investments in our IT infrastructure to better accommodate remote work, so there may be some room for flexibility. However, since much of the responsibility deals with managing the physical office, full remote is not likely an option any time soon.
The office is in Terrell. I've personally commuted from Downtown Dallas, Lake Highlands, Knox/Henderson, and Lakewood and it's a 30-35 minute commute against traffic from any of those places -- 70 mph the whole way. Anywhere east of the Tollway would be pretty easy.
