Workflow and task tracking software?

I'm looking for an app/system/software that will handle two tasks for me at work.

1. I need a basic tracker for tasks that me and my team do each month/quarter. I just want a basic dashboard to see all the tasks and the team can click on a task when completed and it'll show on the dashboard. I might build this in Excel but would like something more flexible perhaps.

2. We need something to track some very basic workflows. "Customer" makes a request, and the steps in the process are followed with notifications send as needed with documentation of the steps.

I've looked at several tools and from the websites they all seem to promise the moon. I'm looking for something very simple, that we can set up and maintain without any IT support.

I've looked at Monday.com and a thing called craft.io

One of my coworkers suggested Notion, but they didn't know too much about it.

Any suggestions/guidance?

Asana is pretty easy to use and free depending on how many people you need to have. Pretty good mobile apps with it as well.

All kinds of options here and a sick hobby of mine. I've used the following with both work and personal:

  • Asana - Excellent project and task management. It might be a little overkill for what you described as your need. If you spend a little time on the front end with setup, it's very powerful. It can become a tinkering rabbit hole though. I loved it because I like to play.
  • Notion - Primarily a note taking application like Evernote or OneNote, but has native task management. Does not have the automation that Asana has but there are templates you can use to do basic project management and task management. If you are looking for a hybrid application that stores notes, documents, and tasks then this could be a good fit. Generally good for teams who are going all-in on one application where you want a central hub / documentation wiki that your employees can go to for company documentation, FAQs, onboarding docs, and then Project / Task management can be linked back to it.
  • Todoist - This might be your sweet spot. I use this currently for personal task management, but if you get the Pro version which is pretty cheap you can use with teams. This gives you shared task management with tracking automation without all of the overhead the two above this have.
  • Google Tasks - if you are a google shop. This sucks and won't meet your needs.
  • Microsoft Tasks - if you are a MS shop. A low rent Todoist that doesn't work nearly as well. Pass.
  • Monday - used this briefly via a vendor. I will mostly abstain with an opinion on this one, but my initial impression is that it will be overhead overkill for what you asked for.
  • Evernote - fine for note taking; sucks for task management unless they've overhauled tasks in the last year.
Bottom line [edited]: I reread your post. Due to your requirement for #2, I would explore Asana as your first option and then Todoist for a slightly less complication option. I'm just not sure if Todoist can meet your #2 requirement adequately. Asana is built from the ground up to meet both of your requirements.

I recommend Asana as well although there is a little bit of a learning curve on the front end.

For personal tasks that aren't as collaborative I've found Ticktick to be a great tool that is easier to learn. Think of it as a beefier version of the reminder app with calendaring tools built in.

based on the simplicity of what you are looking for, I would vote Trello over Asana and Monday. The latter two just seem like overkill, but then again - not much detail to make a really firm recommendation.

Yeah, I will say that we use Monday for thousands of tasks over many folks. It may well be overkill for your purpose. But damn is it slick.

We are looking into this as well but trying to develop AI bots that track our emails and prompts us if something does not appear to be followed up on. We have to build master prompts for each project and be consistent with our subject lines but I have high hopes at this point.
